Submitting to Multiple Lenders in Parallel Without Losing Track of Deadlines

Three lenders, three different timelines, three condition lists. Here's how to stay in control when a file is submitted to several institutions at once.

You submitted the same file to three lenders to get the best offer, and now you're juggling three different portals, three condition lists, and three expiry dates that don't line up. A forgotten condition or a missed deadline can cost the client the rate they were counting on, or worse, kill the deal. Submitting in parallel is good practice for the client, but it's a real management challenge for the broker.

Why submit to multiple lenders at once

Each lender has its own criteria, its own pricing, and sometimes exceptions others don't offer. Submitting the same file to two or three lenders in parallel lets you compare real offers instead of estimates, and gives you negotiating leverage. The downside: manual tracking quickly becomes unmanageable once you go past one or two lenders per file.

What to track for each application

    • The submission date and the response time announced by the lender
    • The decision status: under review, conditionally approved, approved, declined
    • The precise list of conditions to satisfy for each conditional approval
    • The expiry date of the rate and the commitment

The real risk: the expiry date

A conditional approval isn't final until every condition is met, and it almost always comes with a specific expiry date. When several files are active at once, it's easy to lose sight of the fact that one condition must be met by Friday for one lender, while another lender requires something else by Monday. Missing a deadline can force a full resubmission, with a new rate that may be less favourable.

Direct question: what happens if an approval condition isn't met on time?

In most cases, the lender withdraws the conditional approval or extends the deadline at its discretion, with no guarantee the original rate will be kept. The client may end up having to resubmit an application, sometimes at a higher rate if the market has moved in the meantime. That's why tracking conditions and their deadlines needs to be just as rigorous as tracking the application itself.

    How CourtierIQ centralizes multi-lender tracking

CourtierIQ groups all active applications for a given client file into a single view, no matter how many lenders were approached. Each application shows its status, its remaining conditions, and its expiry date, with automatic reminders sent ahead of every critical deadline.

    • Consolidated view of all active applications per client file
    • Individual tracking of remaining conditions per lender
    • Automatic reminders ahead of expiry dates
    • Complete decision history for future reference

The goal isn't to replace your relationship with lenders, but to keep you from losing track when several deadlines overlap — so the best offer is still actually available when it's time to sign.
