AI for mortgage document extraction: a real time-saver or a data risk?
Manually retyping the numbers from a notice of assessment for the tenth time this week? Here's how AI can do that work without compromising sensitive data.

You receive a notice of assessment as a PDF, three pay stubs as phone photos, and a twelve-page bank statement. Now you need to manually retype income, deductions, and deposits into your file-building software — for the tenth time this week. That's the kind of repetitive task that eats hours without adding any value for the client.
What AI extraction actually does
CourtierIQ's AI integration on the client portal combines two technologies: optical character recognition (OCR) to turn an image or scanned PDF into text, then a language model (LLM) to understand the document's structure and extract the relevant fields — annual gross income, employer name, bank balance, recurring deposits. The result is presented to the broker for validation before being added to the file; the AI proposes, the broker confirms.
This process works for the most common documents in a mortgage file:
- Pay stubs (gross income, net income, deductions, pay frequency)
- Notices of assessment (total income, tax paid, tax year)
- Bank statements (balances, deposits, recurring withdrawals)
- Employment letters and status confirmations
Masking social insurance numbers before sending anything to AI
One question comes up constantly: is it safe to send a notice of assessment, which contains a social insurance number, to an external AI service? The short answer: it should never happen without prior protection. Before a document is sent to an external AI model for analysis, CourtierIQ applies an automatic masking step that detects and removes the SIN (as well as other sensitive identifiers) from the content being sent. The AI model processes the document without ever seeing that data, which stays only within CourtierIQ's secure, Canada-hosted environment.
Detecting abnormal deposits without doing the investigation yourself
Beyond extraction, analyzing a bank statement over a 90-day history automatically flags deposits that fall outside the client's usual profile — a large one-time deposit that doesn't match the regular salary, or a series of transfers that aren't explained by the declared employment. This signal is not an accusation or a decision: it's an indicator the broker should review before submitting the file to a lender, exactly as an underwriter would, but before the file goes out.
Does AI replace the broker's judgment?
No. CourtierIQ's AI extracts, proposes, and flags — it never makes a credit decision and doesn't replace the broker's professional analysis. The broker remains responsible for validating every extracted field and interpreting every flagged signal. What the tool eliminates is the time spent retyping numbers and manually comparing columns of statements.
