1. Who is responsible for your data

CourtierIQ is a product operated by NovaTrait ("we"). This policy applies to the courtieriq.ca website, the CourtierIQ service and the signup.courtieriq.com portal.

Our privacy officer can be reached at any time at courtieriq@novatrait.com for any question, access request or complaint.

2. Information we collect

• Account information: name, business email, brokerage name and role in your team.
• File data you enter or upload: your clients' contact details, financial information and mortgage documents, for which you remain the controller.
• Usage data: pages visited, features used and technical measures required for security and service operation.
• Billing data processed by our payment provider; we never store credit card numbers.

3. Why we process it

We never sell your personal information or your clients' data, and we do not use it to train third-party AI models.

• To provide, maintain and improve the CourtierIQ service.
• To secure accounts and prevent abuse.
• To answer your support requests and questions.
• To administer subscriptions and billing.

4. Hosting and data location

Your data is hosted in data centres located in Canada. It is not transferred outside the country unless you explicitly connect an external service to your account.

5. Access, sharing and retention

• Only the people you authorize (your team, according to defined roles) can see your brokerage's files.
• NovaTrait staff access your data only to support you, resolve an incident or answer a request from you.
• Service access is logged, and you can request a record of access to your information.
• Data is retained for the life of your subscription. When you close your account, you can export your data; it is then deleted from our systems after a reasonable technical delay.

6. Your rights

Under Law 25 and applicable laws, you can request access to your personal information, its correction, portability or withdrawal of consent, and file a complaint. Write to courtieriq@novatrait.com: we reply within 30 days at most.

7. Cookies

We only use cookies required for the service to work: session handling, security and display preferences. CourtierIQ installs no advertising or third-party tracking cookies.

8. Changes to this policy

We may update this policy to reflect changes in the service or the law. The current version is always published on this page with its update date. A material change will be announced by email.
